Privacy Policy

This policy explains what we process, why, whether it is private by default, and how you can access or delete it. TenantSeal does not sell your personal information and does not use it for targeted advertising.
Account information
Your email, name, and authentication records are collected to create and secure your account. Private by default. Processed by our hosting and authentication providers.
Property addresses
Collected so you can organize documentation by property. Private by default; shared only when you intentionally create a share link. Processed by our hosting provider.
Interior photos and videos
Collected to document rental condition. Private by default and stored with access controls; shared only when you intentionally create a share link. TenantSeal does not independently verify that submitted photos or videos are true, complete, or unedited before upload. Processed by our object-storage and hosting providers.
Lease-related documents
Collected when you upload leases or related files to keep them with your record. Private by default; shared only at your direction. Processed by our storage/hosting providers and, if you request analysis, an AI provider.
Communications
Notes and logged communications you add are stored to keep your record complete. Private by default. Processed by our hosting provider; email delivery uses an email provider only when you send something.
Device-reported location
Optional and off by default. When enabled, your browser reports an approximate, device-reported location that is stored as private, owner-only provenance with the specific evidence. It is approximate and device-reported — not exact GPS verification — and is never shown in shared reports, public verification, or exports. Processed by our hosting provider.
Payment and subscription information
Handled by our payment processor. We receive subscription status and limited billing metadata, not full card numbers. Processed by our payment processor.
Security and usage records
Limited logs (for example, sign-ins, share-link views, and error diagnostics) are kept to operate and secure the service. Private. Processed by our hosting/monitoring providers.
Browser-local pending uploads
Captures awaiting upload are held in your browser's local storage on your device so they survive reloads and offline periods. They can be removed by clearing your browser/site data or by device storage eviction, and are not guaranteed to persist.
User-created share links
When you create a share link, the linked record becomes reachable by anyone with the link until you disable it. Public or recipient access occurs only when you intentionally create or use a sharing feature.
Automated / AI processing
Some features use automated tools, including AI, to suggest labels or matches and to draft content. AI output may be inaccurate and requires your review before you rely on, export, share, or send it.
Retention and deletion
We keep your data until you delete it or close your account. You can delete individual properties, or permanently delete your entire account and associated data from account settings. Deletion removes records from our active systems; routine backups age out over time, so we do not guarantee a specific deletion timeline. We do not guarantee permanent storage or that data is processed anonymously.
Accessing or deleting your data
Use “Delete my account & data” in account settings, or reach us through the in-app Help & Contact page to request access or deletion.
How we protect it
We use access controls and encryption in transit. No online service can promise perfect or guaranteed security, and we do not.
Service providers
We share data only with service-provider categories necessary to run TenantSeal — hosting, object storage, authentication, payment processing, email delivery, AI processing, and monitoring — and only as needed to provide the service. We do not sell personal information or use it for targeted advertising.
